How it works
An agent is three things: instructions you write in plain English, tools it can call, and knowledge sources it can read.
Triggers: run it on demand from chat, on a schedule, on an event in a connected app, from an existing Zap, or from the Chrome extension while you're on a page.
Tools: any Zapier action across 9,000+ apps, plus web browsing and web search. Agents can call other agents, so you can split a long job across specialists.
Knowledge: live, synced connections to Google Drive, Box, Notion, Asana, Zapier Tables, Google Sheets, Airtable and Google Docs — not one-time file uploads, so answers track the current document.
Organisation and control: agents group into Pods, instructions have version history, and access is Viewer / Editor / Owner. An activity dashboard logs every run and surfaces a "Needs action" queue — that queue is the human-in-the-loop mechanism, and it's where you should route anything irreversible.
Usage and limits
Zapier Agents bills in "activities", which are counted separately from the tasks on your core Zapier plan. This is the single biggest source of surprise bills.
One activity is: a trigger firing, an action running, an answer pulled from a knowledge source, a web browse or scrape, a web search, or a message sent through the Chrome extension.
Allowance: Free 400/month, Pro 1,500/month, Enterprise custom. Runs are capped at 10 steps on Free and 40 on Pro and Enterprise. Testing an agent counts against the quota on Free but not on paid plans.
At the cap: actions, browsing, search and knowledge lookups stop. You can still chat with the agent. Alerts fire at 80% and 100%. A run already in flight may overrun slightly and isn't charged for the overage. The allowance resets on your billing anniversary — the date you signed up or last upgraded — not the 1st.
What 400 activities actually buys: a single agent that watches an inbox, reads one knowledge source and takes one action per email uses roughly 3 activities per email. That's about 130 emails a month before the free tier stops acting. Add a web search per email and you're at ~100.
Which product do you need?
Pick Zaps when the workflow is deterministic — same trigger, same steps, every time. Pick Agents when the work needs judgement: reading a message and deciding which of several things to do, or summarising something before acting on it.
Chatbots is a separate product for public-facing Q&A; Tables and Interfaces are the database and front end. Zapier MCP exposes your Zapier actions as tools to an outside AI client, which is the reverse of Agents — there, someone else's model does the reasoning.
Agents costs more per unit of work than Zaps, so a good pattern is a Zap for the plumbing and an agent only at the step that needs a decision.

Security and data
Enterprise customers are automatically excluded from model training. Everyone else — Free, Pro and core Zapier plans — is included by default and must opt out by submitting Zapier's opt-out form. If you're an SMB handling customer data, treat this as an action item, not a checkbox.

Mix of OpenAI, Anthropic, Google Gemini and open-source models, selected by Zapier. No model picker, no bring-your-own-key. Zapier does not publish which model handles which step.
Setup and time-to-value
No credit card needed — the free tier is permanent and self-serve. You need a Zapier account, but not a paid one.
The template gallery covers the common starts (lead enrichment, ticket triage, meeting summaries) and a working first agent is realistically 10–20 minutes. Zapier Copilot drafts the instructions for you.
The learning curve is in the instructions, not the UI: agents behave well when told exactly which tool to use and when to stop. If you've built Zaps before, the app connections carry over.
Support and reliability
Free: docs and community forum only. Pro: email and live chat. Enterprise: priority support plus a Technical Account Manager and observability tooling.
Zapier publishes a public status page. Documentation is unusually good by SaaS standards; the community forum is active.
Switching and lock-in
Agent instructions are plain text and easy to lift, but the value is in the app connections and the knowledge-source wiring, which don't export. Moving to n8n or Make means rebuilding every integration.
Leaving Agents doesn't affect your Zaps — they're billed and run separately. Downgrading to Free keeps agents alive but drops them to 400 activities and a 10-step cap.
